About the Role
We are seeking a reliable and detail-oriented Office Administrator to join our team on a permanent part-time basis. This is a hands-on role that sits at the heart of our business operations, supporting the day-to-day administrative and financial functions that keep everything running smoothly.
You will be a central point of contact for quoting, invoicing, accounts administration, and general office coordination. The ideal candidate is highly organised, confident communicating with clients and suppliers, and comfortable working with financial systems, particularly Xero.
You’ll report directly to the Directors and work alongside a small team of three, so you’ll quickly become an integral part of daily operations. If you enjoy variety, close collaboration, and knowing that your work genuinely moves things forward, this is the role for you.
Key Responsibilities
· Prepare and issue accurate quotes via HubSpot and Xero, converting approved quotes to invoices and following up as required
· Perform bank reconciliations, process accounts payable/receivable, raise Purchase Orders, and manage payment runs in Xero
· Monitor debtor accounts, chase outstanding payments professionally, and escalate unresolved debts in line with company policy
· Manage shared inboxes, maintain records in HubSpot and Asana, and coordinate scheduling and internal communications
· Create and maintain business documents, templates, and filing systems across OneDrive and SharePoint
· Liaise with clients, suppliers, and electricians, and support the team with ad hoc tasks as they arise
Skills & Experience Required
· Proven experience in an administrative or account’s role
· Proficiency in Xero, including invoicing, reconciliations, and accounts payable/receivable
· Strong written and verbal communication skills, including confident follow-up on overdue accounts
· High attention to detail, strong time management, and the ability to prioritise competing tasks
· Proficiency in Microsoft 365 including Word, Excel, Outlook, Teams, OneDrive, and SharePoint
· Ability to work independently and use initiative
Desirable (Not Essential)
· Experience in the electrical, lighting, construction, or trades industry
· Prior use of HubSpot, Asana, or similar job management/CRM tools

For your first few weeks, you’ll work closely alongside Sharon, our Administrator, who will walk you through our systems, processes, and ways of working. We will make sure you have the time and support you need to find your feet and get fully across the role.
